Cancellation and Refund Policy

We understand that plans can change, and we aim to be fair and transparent with our cancellation and refund procedures.
 
Due to payments being required in advance of events and the administration involved, all payments for events should be considered as non-refundable.
 
We may provide a refund as described below:
 
1. Cancellations Initiated by our Scout Group
If an event or activity is cancelled by the Scout group for any reason, a full refund will be issued to all participants. This includes any payments made for venue hire, activities, or other associated costs.
 
2. Cancellations Requested by Parents/Carers
 
If a parent or carer requires to cancel their child’s participation before payment has been made to the venue, the following applies:
  • Event attendance can be updated in Online Scout Manager before the payment date and payment will not be taken.
If a parent or carer requests to cancel their child’s participation after payment has been made to the venue, the following applies:
  • No refund will be issued if the venue has already been paid and the cancellation is not due to Scouts’ fault.
     
  • If the cancellation is acceptable and approved by the Scout group (e.g. where payment can be refunded by the venue, where there is a waiting list and the place can be filled or if there are exceptional circumstances), a refund may be issued minus an administration fee. Refunds of this nature may not always be possible and will be considered on a case by case basis, at our sole discretion.
     
  • The administration fee covers charges incurred from our payment processors:
    • GoCardless
    • Online Scout Manager (OSM)
Please note: The administration fee amount may vary depending on the payment method and total transaction value and is usually between 3% and 5% of the payment.
